Cash Handling Best Practices for Small Businesses in India

Despite the rapid adoption of digital payments (UPI) in India, cash remains a dominant medium of transaction for local retail outlets, Kirana stores, pharmacies, and restaurants.

While cash transactions offer immediate settlement and have zero digital transaction charges, they also introduce significant operational challenges: cash register errors, theft or leakage, counterfeit currency risks, and hours spent counting denominations at the end of the shift.

In this guide, we will share actionable cash-handling best practices designed for Indian retail and small business owners to streamline operations and secure cash flows.


1. Separate Duties: The Double-Check System

If you have employees, never let the same person handle cash registers, count cash drawers at closing, and deposit cash in the bank. This lack of checks and balances increases the risk of internal leakage.

  • The Cashier: Responsible only for scanning items, receiving cash, and handing out change.
  • The Manager / Owner: Responsible for counting the cash drawer at the start and end of shifts, reconciling records with the POS system, and managing bank deposits.

Even if you run a small family store, having a second family member audit the cash box periodically serves as a check to maintain accounting accuracy.


2. Implement a Cash Reconciliation Routine

At the end of every business day, the cashier must reconcile the physical cash in the drawer against the sales records in the register or POS billing system.

Instead of writing down denominations on paper scrap or manually multiplying currencies (which is slow and prone to errors), use our digital Cash Counter:

3. Spotting Counterfeit Notes in India

Counterfeit currency is a major risk for cash-heavy businesses. Educate your staff on how to inspect high-value notes (₹100, ₹200, ₹500) using the RBI’s security guidelines:

  • The Security Thread: Look at the thread running through the note. It changes color from green to blue when you tilt the note. It also has the words "भारत" (Bharat) and "RBI" printed on it.
  • Watermark: Hold the note up to the light to see the portrait of Mahatma Gandhi and the denomination value in the watermark window.
  • Intaglio Printing: The portrait of Mahatma Gandhi, the Ashoka Pillar emblem, and the identification marks for the visually impaired are printed in raised ink (intaglio) and can be felt by touch.
  • Micro-lettering: Look closely at the area between the Gandhi portrait and the margin. Under a magnifying glass, you should see the word "RBI" and the denomination value repeated clearly.

Always keep a basic UV fake note detection machine at the cashier desk if you handle large cash transactions daily.


4. Maintain Tight Physical Security

  • Keep Drawer Limits Low: Do not let cash accumulate in the register drawer. Establish a "cash drop" rule: once the register cash exceeds ₹15,000, transfer the excess cash (especially high-value ₹500 notes) into a secure, under-counter drop box or a back-office safe.
  • Minimize Cash Drawer Exposure: Train cashiers to close the cash drawer immediately after finishing a transaction. Never leave it open or unattended.
  • Use CCTV Coverage: Position a high-definition security camera directly above the cash register. The camera angle should capture the cashier's drawer, the customer's hands, and the transaction counter clearly.
  • Avoid Keeping Large Cash Sums Overnight: Make daily bank deposits, or use a cash collection service if your business handles significant volume.
